Nobody types a password for anybody
Section titled “Nobody types a password for anybody”You no longer set a password when you add someone, and there’s no field to type one into. HIVE emails the new person a single-use link and they choose their own password.
That’s a deliberate change, and it removes a real problem: a password you set is a password you have to hand over somehow - in a message, over a call, on a note - and that copy exists forever afterwards. Now there’s nothing to hand over.
Adding someone
Section titled “Adding someone”-
Settings → Team → Add User Role.

Fill in their name, email, role and admin access.

Choose Add to Workspace.
HIVE sends them an email titled Set up your HIVE account and confirms on screen what it did. Read that confirmation - it has three possible outcomes:
- The email was sent. Nothing more to do; they’ll appear in the list as Pending until they use it.
- No email was sent, because your organisation signs in with SSO. The account still exists and isn’t stranded - it connects itself the first time that person signs in through your identity provider.
- The account was created but the email couldn’t be sent. This is not a failed creation. The person exists and the account works the moment a link reaches them. Use Resend setup email on their row - don’t create the account a second time.
The Pending badge
Section titled “The Pending badge”An amber Pending badge next to someone’s name means they have never chosen a password. Either they haven’t opened their setup email yet, or the link aged out before they got to it.
Either way the fix is the same, and it’s the button on their row.
The two row actions
Section titled “The two row actions”Each person’s row has one button for account access, and its label tells you what will actually be sent:

You don’t choose between them. HIVE picks based on the state of the account, which is why the label matches the badge - and why sending a reset link to somebody can never accidentally hand out a stronger kind of access.
Sending a new link invalidates the previous one, so there’s never more than one live link per person. If someone says the first email went astray, just send another.
What you can’t do
Section titled “What you can’t do”- See or set anyone’s password. No admin has ever been able to see one, and now no admin can set one either.
- Send a link to someone who signs in with SSO. There’s no HIVE password on those accounts, so HIVE will tell you so rather than send a link that couldn’t be used.
- Mail one person repeatedly. Sending is capped per person per hour. It’s set well above ordinary use - you’d have to be trying.
People can help themselves
Section titled “People can help themselves”Nobody has to come to you for a forgotten password any more. There’s a Forgot password? link on the sign-in page that emails a reset link directly.
