Surveys

Surveys let you gather feedback from your team: build a set of questions, share it, and read the responses in one place.

  1. On the Internal dashboard, open the Team Surveys card and choose View All to reach Survey Management, then select Create New Survey. The Survey Builder opens.

  2. Give it a title and, optionally, a description.

  3. Add your questions. Each question has a type:

    • Short Answer - a free-text reply.
    • MCQ - a list of options the respondent chooses one of.
    • Radio - a Yes / No answer.

Add as many as you need with the + button. A survey needs at least one question - HIVE won’t let you remove the last one (“Your survey must have at least one question.”).

  4. Choose Create Survey to save it, or Discard to cancel. A title is required - without one you’ll see “Please provide a title for your survey.”

Each survey has its own link. There are two ways to get it to people:

  • Copy Link - copies the survey’s public link (a /fill-survey/… address) to your clipboard, with a “Link Copied” confirmation. Share it however you like - chat, intranet, or your own email.
  • Share Survey Via Email - send it straight from HIVE. Pick contacts and contact groups under Recipients, type any outside addresses in External Email Addresses, edit the Subject and Content, then choose Share Survey. See Choosing recipients below. You’ll need at least one recipient (“Please enter at least one recipient email address.”).

Survey Management lists your surveys (searchable by title). From there you can also View a survey (opens the respondent page), open its Results, or Delete it.

Share Survey Via Email has two places to put people, and HIVE sends the invite to both:

  • Recipients - open Add contact email… for one list of your contacts and your contact groups, groups first. Type in Search contacts and groups… to narrow it: contacts match on name, email, department or job title, and groups on their name. The list stays open while you pick; click outside it or press Escape to close it.
  • External Email Addresses - type addresses outside your contacts, as the field says: “Addresses outside your contacts, separated by commas or semicolons.”

In the Recipients list:

  • A contact shows with their email address beneath their name. Only contacts with an email address are listed. Picking one adds a chip with their name; the X on the chip removes them.
  • A group shows as one line with its name and how many members it has, for example “Board members · 12”. Picking it adds the members it has when you pick it, as one line you can expand with its arrow to untick anyone you want to leave out. A member without an email address is left out, and the group’s line says so, for example “1 member has no email address and is left out.” The X on the line removes the whole group. Changes an admin makes to the group afterwards don’t change who you’ve already picked.
  • Select All Contacts replaces the contacts and groups you’ve picked with every contact that has an email address. It never touches what you’ve typed in External Email Addresses. Clear Selection removes the contacts and groups you’ve picked, and also leaves your typed addresses alone. Both are hidden while you’re searching.

Someone who is already covered shows a tick, and picking them again does nothing. Under External Email Addresses, a line counts who will receive the invite, such as “5 recipients”. Each address is counted and emailed once: a person in two picked groups, the same address typed twice or in different capitals, or an address you typed that also belongs to a picked contact gets one email.

Type plain addresses only. If an entry can’t be an email address - it has no @, or has a space in it, such as a name before the address - the line names it instead, for example ""dana.reed” is not an email address. Correct it or remove it.”, and choosing Share Survey shows Check the recipients and sends nothing until you fix it.

If you have no contacts yet, the list says “No contacts yet. Add them under Settings > Contacts.” If they can’t be loaded, it says “Contacts could not be loaded.” with a Try again button, rather than showing an empty list.

Respondents open the link - no HIVE login needed. Under Your Details they enter their Email Address, answer the questions, and choose Submit Response. An email is required (“Please enter your email to submit your response.”).

Each person can answer once per survey - a second attempt with the same email is turned away with “You have already attempted this survey.”

Open Results on any survey for its Survey Results page. It shows:

  • Total Responses - the number of responses so far.
  • Respondent Breakdown - one card per response, showing the respondent’s email, the time they submitted, and their answers.

It’s a straightforward per-response view - there are no charts, no per-question aggregates, and no export.

The email invite sends through HIVE’s own email service - there’s no email setup to do. It goes out from HIVE’s updates address, updates.hivecomms.app. Optionally, an admin can send from your company’s own domain instead, set up under Settings → Email - an optional admin step.

Survey invites carry an unsubscribe link. Anyone who has unsubscribed is skipped, and if every recipient you picked has unsubscribed the send is refused outright with “This recipient has unsubscribed from these emails and was not contacted.” See Unsubscribes.

Delete a survey from Survey Management and confirm with Permanently Delete. This removes the survey and all its responses, and can’t be undone.

  • The email invite goes to the contacts you pick, which an admin manages in Settings → Contacts, and to any outside addresses you type - see the Internal overview for how your contacts work. The public link, on the other hand, can be answered by anyone who has it.
