Planning
Planning is a board of communication cards for planning your communications work - what’s being worked on, who owns it, and where it is. Open it from Planning in the top navigation.
Boards
Section titled “Boards”Split your planning into separate boards - one per workstream, campaign, or team - shown as tabs across the top of Planning. Each board holds its own communication cards, and the Board, List, and Calendar views all follow the board you’re on.
Every company starts with one default board. Editors can:
- Add board - create one with the + Add board control.
- Rename - from a board tab’s ⋯ menu.
- Delete - from the same menu (available once you have more than one board). Deleting a board moves its cards to the default board - nothing is lost - and can’t be undone.
Everyone else sees the board tabs read-only.
The same cards appear in three views, switched with the Board / List / Calendar toggle:
- Board (default) - a board with a column per status; drag cards between columns to move them along. Board is a desktop view; on smaller screens it falls back to List.
- List - the same cards as a flat list.
- Calendar - cards laid out by date, with Week, Month, and Year sub-views.
Create one with New Card. Each card has:
- Title (required), Description, and a Goal.
- Audience - free text (for example, “Investors, Media”).
- Channels - a multi-select: LinkedIn, Instagram, Facebook, YouTube, TikTok, website, email, press, internal.
- Type, Status, Priority (low / medium / high / urgent), and Risk level (low / medium / high).
- Start date and Due date.
Audience, Channels, Priority, and Risk level are four separate fields.
People and links
Section titled “People and links”- Owner - the one person responsible for the card.
- Collaborators - other people on the card.
- Strategic brief - link the card to one brief. See Strategic briefs.
- KPIs - attach one or more KPI goals. KPIs are only available once a Strategic brief is linked, and you can only choose from that brief’s KPI goals. Cards linked this way can be counted automatically by a Linked Activity measure on the brief - see Success Measures.
- Checklist - items to tick off, with a progress ratio (e.g. 3/5 done).
Show a card on the calendar
Section titled “Show a card on the calendar”A card can also appear on one of your comms calendars. Open the card, tick Show on calendar, then choose:
- Calendar - Internal or External (which calendar it lands on).
- Channel - which row on that calendar it sits on.
The card needs a start or due date to be placed - without one you’ll see “This card needs a start or due date to appear on the calendar.” It then shows on that calendar’s Year, Week, Month, and List views alongside everything else planned there. See the External calendar and the internal Announcements calendar.
Moving work along
Section titled “Moving work along”On the Board, drag a card between the status columns:
| Column | Means |
|---|---|
| Planned | Not started yet |
| In Progress | Being worked on |
| In Review | Up for review |
| Completed | Done - moving a card here stamps a completion time |
Narrow the board with the filters:
- Scope - All cards, My cards, or Cards I’m on.
- Status and Type.
When nothing matches, you’ll see “No cards match your filters” with a Clear filters action; a brand-new board shows “No communication cards yet”.
Notifications
Section titled “Notifications”Planning sends a couple of emails so people know when they’re involved:
- Adding someone as a collaborator emails them - “You’ve been added to a communication card”.
- Setting a card’s owner emails the new owner.
Each only emails the newly-added person (never you, for a change you made). They’re best-effort - the card still saves even if the email doesn’t go out - so treat them as a nudge, not a guarantee.
